Quick summary
Red Rock Trade collects the information you provide to apply and trade, plus limited technical data, to run the barter exchange. We use it to operate your account, facilitate and record trades, collect fees, meet our tax-reporting obligations, and keep the exchange secure. We do not sell your personal information. 1. Scope
This Privacy Policy applies to the Red Rock Trade website, the member application and member portal, and related communications, operated by Red Rock Trade LLC ("Red Rock Trade," "we," "us"). By using the exchange you agree to this Policy. It works together with our Terms of Service.
2. Information we collect
Information you provide:
- Business and contact details — business name, contact name, email, phone, website, industry, business description, and address/ZIP.
- Tax identification — your taxpayer identification number (TIN/EIN/SSN) and IRS Form W-9, which we are legally required to collect as a barter exchange (see Section 7).
- Payment information — a payment card kept on file to pay fees. Card details are collected and stored by our payment processor (Stripe); we do not store full card numbers — we hold only a token and limited display data (card brand and last four digits).
- Membership and agreement records — your acceptance of the Member Agreement and related timestamps.
- Listings, wants, and trade activity — what you offer and seek, and the trades, authorizations, balances, and statements recorded in your account.
- Support communications — messages you send us.
Information collected automatically:
- Basic technical and usage data such as IP address, browser/device type, and activity logs. We use this data through our own internal logs and analytics to operate, secure, and improve the service. We do not use third-party advertising or behavioral-tracking analytics, and we use only cookies that are necessary for the site to function (such as keeping you logged in).
Location: If you choose to display your exact location on the member map, we use the coordinates you provide. This is opt-in and off by default; otherwise only your general area (e.g., ZIP-based) is used for directory and distance features.
3. How we use information
We use your information to:
- create and manage your account and verify eligibility;
- facilitate, authorize, and record barter trades and produce account statements;
- bill and collect fees through our payment processor;
- meet our tax-reporting obligations, including IRS Form 1099-B (Section 7);
- provide support and send service and account communications;
- operate, secure, and improve the exchange and prevent fraud; and
- comply with law and enforce our Terms.
We send transactional emails related to your account and activity (for example, application receipt, approval, trade activity, matching notifications, and billing notices). We do not currently send bulk marketing email; if that changes, we will provide an unsubscribe mechanism and the required sender information in those messages.
4. How we share information
We do not sell your personal information. We share it only:
- with service providers that help us run the exchange, under contractual confidentiality and data-use limits — currently our payment processor (Stripe), our email delivery provider (Resend), our database and hosting provider (Supabase, hosted in the United States), and map tiles (OpenStreetMap);
- within the exchange as necessary to operate trades and the member directory (for example, your business listing is visible to other members; your W-9 and tax ID are not);
- for legal and safety reasons when required by law or to protect rights, safety, or the integrity of the exchange;
- in a business transfer (merger, acquisition, or sale of assets); and
- with your consent.
5. Who can see what (access within Red Rock Trade)
Access to sensitive member data inside Red Rock Trade is restricted by role:
- Brokers can see information needed to facilitate trades (such as listings, wants, and outreach queues) but cannot access your tax ID, W-9 document, billing schedule, or financial forfeiture data.
- Platform administrators can access account and tax records as needed to operate the exchange and meet reporting obligations.
- Your tax ID is stored encrypted, and your W-9 document is stored privately and is accessible only to you and platform administrators.
6. Financial and payment data
We treat payment and trade-financial data as sensitive. Card data is tokenized by our processor and not stored by us in full. Trade-dollar balances, fees, and statements are maintained as part of your account records and protected as described in this Policy.
7. Tax information and 1099-B
As a barter exchange, we are required by law to collect your correct taxpayer identification number and to report your trade sales to the IRS on Form 1099-B. We collect your TIN and Form W-9 for this purpose, store your TIN in encrypted form, and retain these records as required by tax law. We share this information with tax authorities as required and with service providers only as necessary to meet these obligations.
8. Data retention
We keep personal information only as long as reasonably necessary to provide the exchange, meet legal and tax obligations, resolve disputes, and enforce our agreements. Tax-related records are retained for the periods required by law. When information is no longer needed, we delete or de-identify it. Information you provide during application may be deleted if your application is rejected, except where retention is legally required.
9. Security
We use reasonable administrative, technical, and physical safeguards to protect your information, including encryption of your tax ID, private storage of sensitive documents, and role-based access controls. No method of transmission or storage is completely secure, and you are responsible for keeping your login credentials confidential.
In the event of a data breach affecting your personal information, we will notify affected members and any applicable authorities as required by Utah law and other applicable law.
10. Your choices and rights
Depending on where you are located, you may have rights to access, correct, or delete your personal information, and to opt out of certain uses. To make a request, contact support@redrocktrade.co; we may need to verify your identity. Some information (such as tax records) must be retained by law and cannot be deleted on request.
If you are a resident of a state or jurisdiction with specific privacy rights (such as Utah or California), those rights apply to the extent required by law; contact us at the email below to exercise them.
11. Children
The exchange is intended for businesses and is not directed to anyone under 18. We do not knowingly collect information from minors.
12. Third-party links
Our site may link to third-party websites. We are not responsible for the privacy practices of those sites.
13. Changes to this Policy
We may update this Policy from time to time. We will revise the "Last updated" date and, for material changes, provide additional notice through the site or by email.
